A business club thrives on member engagement. But when management relies on scattered tools — spreadsheets for memberships, emails for invitations, forms for surveys — coordination becomes a hindrance rather than a lever.
The real gap was elsewhere: the board could not clearly see business referrals between members, recommendations got lost in WhatsApp, and important communication drowned between logistics messages and lunch-menu questions. CAPA centralizes club life in a single tool: members, memberships, renewals, event calendar, referrals, announcements, surveys, and useful indicators for the board.
Context before the project
Like many business clubs and professional associations, the club managed its activities with a constellation of disconnected tools.
Member data was scattered between Excel files and contact lists. Membership fees and renewals were tracked manually, without a consolidated view of payments. Every board change required transferring scattered files and access credentials.
Event organization — noon meetings, evening events at members' companies, special occasions — relied on email exchanges and attendance tracking spreadsheets. Managing meals, guests, and reminders consumed considerable time for organizers.
Member interactions were limited to physical events. Between meetings, the club lost momentum: no simple way to thank a referrer, share a business opportunity, or recommend a member. The lack of analytics tools made it impossible to measure real engagement and identify improvement levers.
Project objectives
To revitalize club life and professionalize its management, a platform was needed capable of:
- Centralizing member management with professional profiles, membership tracking, renewals automated through HelloAsso, and a searchable directory.
- Simplifying event organization by managing different formats (noon meetings, evening events, special occasions) with automated registrations, meals, reminders, and a calendar available to members.
- Make referrals visible and keep member recommendations from disappearing into scattered conversations.
- Streamlining communication via targeted announcements (job listings, sponsorships, news) and interactive surveys.
- Driving engagement through data with analytical dashboards measuring member activity and event effectiveness.

CAPA was designed around a simple principle: the club needed a work tool, not one more social network. Features were prioritized by their usefulness to the board and members: organize, communicate, recommend, measure.

The deployment of CAPA changed the club's dynamics. Centralizing management in a single tool removed part of the administrative friction that slowed down organizers.
Memberships and renewals are no longer tracked by hand: CAPA relies on HelloAsso to automate payments and give the board a more reliable view of statuses. Events are also managed end-to-end in the platform: from creation to automated reminders, through registration, meal tracking, and the calendar available to members.
The news feed created a permanent interaction space between members. Referral thanks, recommendations, and business opportunities remain visible after events, helping the club value what it actually produces.
Analytical dashboards provide a clear view of engagement: memberships, event participation rates, most active members, interaction trends. This data enables the board to drive club strategy with facts.
